Two links for different tasks
Booking link is the public page where customers choose and book a new appointment. Use your clinic’s customer booking page, rather than the calendar administration used by staff.
Manage bookings link leads to the customer’s own appointments. They may need to sign in before seeing them. The portal decides whether they can cancel or change an appointment.
Manage bookings link is required for Planway and EasyPractice. For other portals, it is also required whenever they offer a shared customer appointment page. If the portal has no such page, select This portal does not offer a shared customer appointment page. Do not invent another link.
Planway: find your links
In Planway, open Indstillinger → Online booking. Under Bookingside → Direkte link, choose Kopier link. You can also choose Åben online booking and copy the address from your browser. This is your Booking link.
Open the booking page as a test customer, go to the customer area and choose Mine tider. Copy the address once the customer appointment page is open. This is your Manage bookings link. Use your clinic’s own address; the examples below are templates only.
Mine tider may require sign-in. Check the actions your clinic actually offers using an active test appointment. An empty appointment page may not show change or cancellation controls. Menu labels and the order of booking steps can be customised in Planway.

EasyPractice / Terapeut Booking: find your links
Open Indstillinger → Online Booking → Udseende. Find Link til Online Booking, or choose Klik her for at se din Online Booking. Open the page and copy the full address from your browser. This is your Booking link; do not copy only the clinic name from the field.
Sign into the booking page as a test customer. Open the menu showing the customer’s name and choose Din side. This page shows Fremtidige aftaler. Copy its address for your Manage bookings link; it ended in /your-page on the account we checked.
Check Indstillinger → Online Booking → Klient Login. Client Login needs to be enabled for customers to view and manage their appointments online. This is also where you choose whether cancellation is allowed, its deadline and whether the clinic must approve it first.
EasyPractice describes changing an appointment as cancelling it and booking again. Customers cannot directly edit its time. Check possible replacement times first, but wait for cancellation confirmation before booking a replacement. A replacement slot is not held while the customer cancels. If unsure, past the deadline or in need of help, customers continue in the same conversation with the clinic.

Other booking portals
Find the portal’s sharing link or button for opening your public booking page. If the calendar is embedded on your website, use an address that opens the booking experience directly in a normal browser.
Follow the normal customer route to My appointments, My bookings or the equivalent page using a test customer, then copy its general address. Check it before using it as your Manage bookings link. Do not guess the address from the Planway or EasyPractice examples.
Some portals only offer appointment management through a personal link in the customer’s confirmation email. Never save this as your clinic’s shared link. Select that the portal has no shared appointment page instead. Customers can use their own confirmation email or ask for help in the same conversation with the clinic.
Booking rules stay in your portal
Set cancellation deadlines, cancellation approval, sign-in and appointment change options in the booking portal. You should not have to enter these rules again in Replygate.
In Planway, booking and cancellation deadlines are under Indstillinger → Online booking → Begrænsninger for booking. Also check whether Kunder kan ikke aflyse deres tider is enabled. In EasyPractice, customer access and cancellation are under Indstillinger → Online Booking → Klient Login.
Links alone do not tell Replygate which times are available, whether an action is currently allowed or whether it has completed. Customers follow the portal’s instructions. If an expected option is missing, they can ask for help in the same chat or email thread. Replygate should speak as the clinic and must not claim a staff handoff or completed change without confirmation.
Changes to portal menus, links and settings are not automatically detected through a booking link. Recheck the customer journey after changes so that the guidance stays accurate.
Save the links in Replygate
In Replygate, open Integrations → Online booking → Connect. Choose Planway, EasyPractice / Terapeut Booking or Other booking portal under Booking provider. Enter the public page in Booking link and the customer appointment page in Manage bookings link. Both links are required when the portal offers a shared appointment page. Only other portals without such a page can omit it by selecting the matching checkbox.
Choose Save. Under Connected channels, select the websites and mailboxes where Replygate should use these links. Chat and email can be selected separately. A channel using Gecko’s direct booking integration cannot also use booking links; Gecko continues to use its API connection.
Replygate checks the address format and recognised portal paths, but Save does not test customer sign-in, available times or cancellation. Use HTTPS links up to 500 characters long without login details, query parameters or personal tokens. Check the customer journey below. Contact us if your portal needs a different link format.
Edit links changes the addresses. Pause guidance temporarily stops link guidance. Disconnect removes the channel assignments; choose Connect to set it up again. Recheck the customer journey after changing provider or links.
Check both links before using them
Open the links in a private browser window without your staff sign-in. The booking page should show the correct clinic. The appointment management link may ask customers to sign in, but must not open the staff administration.
Use a test customer with an active test appointment to check the full journey. Only complete a test booking, cancellation or payment when you understand the consequences in your booking system.
- New booking: Can customers choose the correct treatment, practitioner and time and see the portal’s confirmation?
- Cancellation: Can customers find the appointment? Is it cancelled immediately, submitted for approval or unavailable online? Also check what happens after the deadline.
- Time changes: Can customers change directly, or must they cancel and book again? Check whether cancellation requires approval first. Check that customers can ask for help in the same conversation if they cannot complete it safely online.
- Access and privacy: Use only general clinic HTTPS links. Do not save passwords, one-time codes or links containing personal sign-in or booking tokens. A customer must never receive another customer’s personal link.
- Languages and devices: Check guidance in both chat and email, on phones and computers, and in the languages your customers use. Portal button labels may be in a different language from the conversation.
